Mental Wellness and Healing: Administrative Assistant

Position Type : Full-time, 3-year Term with possibility of renewal

Tajikeimɨk is seeking a detail-oriented and organized Administrative Assistant to support our team. This role involves managing day-to-day administrative tasks, coordinating schedules, handling correspondence, and organizing meetings and events. Reporting to the Director of Mental Wellness and Healing, the successful candidate will build and maintain effective working relationships with Leadership, Health Directors, and partners to support the strategic plan and priorities of the L’nu’k Mental Wellness and Healing Framework.

What you’ll do:

Specific responsibilities will include, but will not be limited to:

  • Provide effective and professional administrative support in a highly responsible
    and confidential manner.
  • Coordinate administrative operations including managing calendars and
    correspondence, coordinating meetings, ordering supplies, organizing travel, and
    preparing expense claims.
  • Provide administrative support to project teams, committees, and working groups,
    as assigned. This includes coordinating meeting packages, organizing meeting
    logistics, and documenting minutes and actions.
  • Build and maintain positive and effective working relationships with teams and
    partners.
  • Effectively manage inquiries and requests and demonstrate good judgment in
    prioritizing issues management.
  • Establish and maintain effective electronic and paper filing systems.
  • Prepare, edit, and proofread correspondence, reports, presentations, and related materials.
  • Liaise with staff, external contractors, and the finance department to ensure accuracy and
    appropriate approvals of financial documents prior to processing.

Your qualifications:

  • Post-secondary diploma in a recognized office administration, business administration, or related
    program. An equivalent combination of education and experience may be considered.
  • Minimum of five years of progressively responsible experience, providing administrative support and office
    coordination.
  • Demonstrated ability to manage and meet deadlines in a fast-paced work environment
    with multiple priorities and deadlines.
  • Proven reliability in working in a similar support function capacity to meet staff, team
    member, and partner requirements.
  • Previous experience working in or with First Nations communities. Familiarity of
    Mi’kmaw communities and organizations will be considered an asset.
  • Advanced skills and abilities in modern office practices and technology (e.g. Microsoft
    Office, MS Teams, Zoom, etc.).
  • Ability to communicate, verbally and in-writing, in the Mi’kmaw language would be considered
    an asset.
  • Valid driver’s license and willingness to travel throughout Nova Scotia.
  • An up-to-date criminal record check.

  • Sound knowledge of L’nu culture and experience working with Mi’kmaw
    organizations.
  • Passion and commitment to advancing Mi’kmaw health and wellness through
    self-determination over health resources.
  • Alignment with Tajikeimik’s mission and a deep understanding of the
    importance of culturally grounded practices.

Salary: to be negotiated based on experience.
Location:
Millbrook or Membertou with the possibility of a hybrid at home working model.

Tajikeimɨk is the new and developing health and wellness organization being created to
lead health transformation on behalf of Mi’kmaw communities in Nova Scotia. In collaboration with
Chiefs, Grand Council, and Health Directors, Tajikeimɨk will build on and evolve the health and
wellness services and programs used by Mi’kmaw people in Nova Scotia; improve health service
delivery; and strengthen coordination with Federal and Provincial health system partners—with
the goal of improving overall health for Mi’kmaq and communities.
